The Recording Academy – the organization behind the world-famous GRAMMY Awards – is seeking a dedicated Executive Assistant responsible for daily operations, department needs, and assistance to the Chief Awards Officer.The ideal candidate is adept at working in fast-paced environments, and interacting with staff and high profile executives at all levels. Having oversight of the CAO’s calendar, expense reconciliation, travel arrangements, and work-related needs, the right individual possesses exemplary organizational skills.
Answer phones, maintain calendars, and schedule appointments and meetings for the Chief Awards Officer.
Create letters, invitations, spreadsheets and mailings.
Maintain contact and committee databases.
Handle sensitive and confidential correspondence, contracts and financial data.
Maintain current and organized records of events, projects, process manuals, and calendars.
Manage logistics for departmental meetings and entertaining, scheduling meeting rooms and catering, invitation tracking/RSVPs, etc.
Support projects of the CAO, research for the Best New Artist category, the Special Merit Awards, Premiere Awards Ceremony and various committee meetings and conference calls.
Support departmental projects and processes as assigned (e.g., data entry, event/meeting support, telecast-related work, mailings, etc.).
2 – 5 years of experience as an Administrative or Executive Assistant (Music label experience a plus).
Proficiency with MS Office applications, including Outlook, Word, Excel, PowerPoint and their Google alternatives.
Must be highly organized with proven analytical skills and accuracy in data processing, as well as focused with extreme attention to detail.
Ability to work under pressure of tight deadlines, solve practical problems, and deal with a variety of different daily variables.
Ability to communicate ideas clearly with impeccable grammar and punctuation skills.
Demonstrate the ability to take initiative and manage up.
Strong organizational and time management skills with the ability to multitask and work under pressure of tight deadlines.
Outstanding telephone skills, including calm under pressure and ability to work effectively with VIPs and their representatives.
Ability to initiate activities and work effectively as a team member while communicating ideas clearly.
Attention to detail with the ability to compose grammatically correct and properly formatted correspondences.
Ability to maintain confidential material.
Available to work holidays and weekends on a seasonal basis and as needed throughout the year.
Bilingual in English/Spanish a plus.
