In this role you will report to the VP of A&R Co-ordination & A&R Co-ordination Manager in all A&R administration activities.

Responsibilities

  • Assist the A&R Co-ordination Department in the following: to set up, administer and monitor recording budgets;
  • Run the day to day activities for recording projects such as organising studios, arranging artist and producer transport, booking hotels and equipment hire for each project for the duration of the recording project in line with the recording budget. Finding engineers, session musicians as requested.
  • Issue PO’s for the budgets and helping with any payment issues.
  • Be responsible on the current costs of the recording budgets. Working with A&R and Finance to keep projects on budget and informing them of any variance.
  • Operate the computer systems and keeping up to date at all times i.e. Inputting budgets, issuing PO’s in line with agreed budgets, dealing with any enquiries relating to the PO / invoice with AP and finance.
  • Negotiate producer deals and drafting Producer deal memos. Liaising with BA regarding long form producer agreements making sure agreements are concluded in timely manner.
  • Negotiate remix deals and issuing remix agreements and flat fee agreements.
  • Issue MU forms and /or WMUK Musician consent forms for recording sessions.
  • Track all incoming and outgoing music files and music formats of the artists currently recording. Controlling movement of music within and outside the company.
  • Music Logging – to log all master multis for delivery note information and prepare delivery note and to be circulated to A&R and Business Affairs etc. Complete logging in of all master tapes/ files/parts and ensure that there is a regular return of these tapes to the Tape Library.
  • Look after internal and/or external file copying as required by A&R or other departments and delivery of files for mixing and /or delivery of stems for remixing
  • Oversee the mastering process-delivery and acceptance of final pre-master audio on single track, mixtape and/or album; to schedule mastering time with outside mastering houses and liaise with Creative Production re delivery of master files for release.
  • Look after all mastering and edits as requested by A&R Dept. Liaising with mastering houses in dispatching and collecting and monitoring all mastering and edits and then getting approval from A&R and Artist management.
  • Liaise with Production department ensuring that all masters are available for manufacture or production mastering in keeping with deadlines. Origination of label copy for production department.
  • Be responsible for verification of recordings at end of session and working with verification companies on all projects. Reviewing and storing all verification sheets.
  • Deliver final album master bundle to Library for archive.
  • Maintain the computer-based Music logging system, ensuring it is up to date at all times
  • Originate label copy for releases and co-ordinating delivery to Creative Production
  • Book and run the diary for WME. Liaising with engineer re upcoming sessions. Connecting with A&R of relevant artist re information for the session: start time, engineer requirements etc
  • Collate the monthly sessions in WME for re-charge to relevant labels
  • Work with co-ordination of international artists when recording /remixing in the UK and make sure all costs are recharged to the relevant company.
